This Privacy Policy explains how CoachPilot (the “App”, “we”, “us”, or “our”) collects, uses, stores, and protects information when you use our fitness coaching management application and related services (collectively, the “Service”). By using the Service, you agree to the practices described in this policy.
CoachPilot is a tool for fitness coaches and personal trainers to manage their coaching business. This policy applies to two groups:

| Business data | Appointments, visits, offerings, sales, and support tickets. |
Subscriptions are processed through the relevant app store and our subscription provider (Adapty). We receive subscription status and related identifiers, but we do not receive or store your full payment card details — those are handled by the app store and its payment processors.
Some features generate workout and nutrition plans using third-party AI model providers (accessed via OpenRouter). When you use these features, the relevant inputs (such as fitness goals and profile parameters) are sent to the AI provider to produce a result. We do not send Client contact details for the purpose of AI generation beyond what is necessary to create the requested plan. AI output is provided for informational purposes and is not medical advice.

We retain information for as long as your account is active or as needed to provide the Service. When you delete your account, we delete or anonymize the associated personal data within a reasonable period, except where we are required to retain it to comply with legal, accounting, or security obligations.
We use industry-standard measures to protect your information, including encrypted connections (HTTPS/TLS) and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

The Service is intended for use by fitness professionals and is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal data directly from children. If a Coach manages data about a minor Client, the Coach is responsible for obtaining the necessary consent from a parent or guardian.
Your information may be processed on servers located in countries other than your own. Where required, we take steps to ensure your data receives an adequate level of protection in accordance with applicable law.
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Material changes may be communicated through the App. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
